Position Summary

The Lead Pharmacy Technician – Data Entry oversees the end-to-end prescription intake workflow (new and refill), directing day-to-day tasking to hit same-day processing targets. This role is the point person for workflow bottlenecks and escalations—triaging issues, performing root-cause analysis, coordinating with pharmacists and cross-functional teams, and implementing corrective/preventive actions to prevent recurrence. In addition to data entry, the role involves communicating with healthcare providers to resolve discrepancies and secure additional information as needed. The lead proactively maintains data integrity by identifying recurring inaccuracies, standardizing best practices, and driving periodic audits. They also train and coach the team on effective communications, accuracy in data entry, and verification procedures—building capability and accountability across the function. You’ll have success here if you value clear processes and get, want, and have capacity to do the following things:

  • Lead order processing by directing the data-entry workflow, clearing bottlenecks, and meeting the turnaround time for 100% of orders.
  • Resolve escalated processing issues by performing root-cause analysis, coordinating cross-functionally, and implementing preventive fixes.
  • Ensure data integrity and patient/provider record accuracy by running audits, enforcing documentation standards and driving corrective/preventive actions.
  • Reconcile orders and statuses by verifying patient/prescription details through standardized quality checks and closing will-call discrepancies.
  • Build team capability by training on effective processes and communications to keep orders moving efficiently.

  • Ensure 100% of the orders are processed within 24 hours
  • Ensure 100% will-call reconciliation, order Rx status reconciliation

Experience and Qualifications

  • Certification and Licensure: Active pharmacy technician certification (CPhT) and licensure in accordance with Virginia Board of Pharmacy requirements. Commitment to maintaining continuing education and staying updated on industry best practices.
  • Data Entry Expertise: 1-2 years of experience in pharmacy or healthcare-related data entry, with a proven track record of accuracy and efficiency (preferred not required).
  • Quality Assurance and Compliance Focus: Knowledge of HIPAA regulations and the ability to handle sensitive patient information responsibly.
  • Performance and Time Management: Proven ability to meet deadlines and maintain productivity benchmarks while handling multiple tasks in a fast-paced environment.
  • Communication and Collaboration: Excellent written and verbal communication skills, with the ability to interface effectively with pharmacists, providers, patients and team members.
  • Technology Skills: Proficiency in utilizing and troubleshooting pharmacy software and systems to optimize workflows.
  • Preferred Experience in Compounding or Specialized Pharmacies: Familiarity with 503A or 503B compounding workflows, or experience in data entry for specialty pharmacies (preferred not required).
