The Administrative Assistant provides essential administrative and organizational support to ensure efficient daily operations. This role involves handling office tasks, coordinating schedules, managing communications, and supporting staff and management with accuracy and professionalism.
Responsibilities
- Answer and direct phone calls, emails, and other correspondence
- Schedule meetings, appointments, and maintain calendars
- Prepare, edit, and format documents, reports, and presentations
- Maintain filing systems (physical and digital) and manage records
- Order office supplies and maintain inventory
- Greet visitors and provide general support to clients and staff
- Assist with data entry, expense reports, and basic bookkeeping tasks
- Coordinate travel arrangements and meeting logistics
- Support other departments with administrative tasks as needed
- Ensure office procedures are followed and maintained efficiently
Qualifications, Skills, and Key Competencies
- High school diploma or equivalent (associate’s degree preferred)
- Proven experience as an administrative assistant or in a related role
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Strong written and verbal communication skills
- Excellent organizational and time-management abilities
- Attention to detail and accuracy
- Ability to multitask and prioritize work effectively
- Professional demeanor and customer-service mindset
- Ability to handle confidential information discreetly
- Familiarity with office equipment and basic office software
